Chapter 5: Daily Attendance Desk & Student Leaves
This chapter explains how class teachers mark daily student attendance, manage student leave requests, generate monthly attendance registers, and configure automated SMS/WhatsApp alerts for parents.
1. Daily Attendance Marking Desk
Teachers and administrators can mark class attendance in less than 30 seconds:
- Navigate to Academic & Students → Attendance → Mark Attendance (
index.php?page=school_attendance). - Select the Class and Section (e.g. Grade 8 - Section B).
- Select the Date (defaults to today's date).
- Click Fetch Student Roster.
Quick Attendance Marking Tools:
- 1-Click "Mark All Present": Sets all students in the section to Present with one button.
- Fast Status Toggles: Click directly on individual student status badges to toggle between:
P(Present): Green badge.A(Absent): Red badge.L(Late): Yellow badge (records arrival time).HD(Half Day): Blue badge.OL(On Approved Leave): Purple badge.- Remark Field: Add notes for individual students (e.g. Sick leave note received, Left early for doctor appointment).
- Click Save & Submit Attendance.
[!TIP] Parent Notification: When Send SMS / WhatsApp Alert is checked before submission, parents of absent or late students receive an instant automated notification with student name, date, and class details.
2. Student Leave Requests & Approvals
Parents and guardians can submit digital leave requests via the portal or school app:
- Navigate to Academic & Students → Attendance → Leave Requests (
index.php?page=student_leaves). - View incoming leave requests sorted by date and class:
- Student Name, Class & Section, Leave Dates (From - To).
- Leave Reason (e.g. Medical, Family Function, Urgent Work).
- Supporting Medical Document / Attachment (if uploaded).
- Class teachers and Principals can click Approve or Reject with comments.
- When approved, the student's attendance on those dates automatically reflects On Leave (
OL) on the daily attendance desk and monthly register.
3. Monthly Attendance Register & MIS
To view compliance and generate statutory monthly attendance sheets:
- Navigate to Academic & Students → Attendance → Monthly Register (
index.php?page=attendance_report). - Select Class, Section, and Month / Year.
- The interactive grid displays all days of the month with daily status columns:
- Total Working Days in month.
- Total Present Days, Absent Days, and Approved Leaves per student.
- Attendance Percentage (%): Color-coded (<75% flagged in red warning).
- Click Export to Excel or Print Monthly Register for official school records and board inspections.
